Transactional email is a message triggered by a user's action or account event — order confirmations, password resets, receipts, shipping updates — sent one-to-one in response to something the recipient did.

What counts as transactional

Transactional emails are triggered by an individual's activity, not a marketing calendar. They carry information the recipient is expecting and usually needs right away.

  • Order and payment confirmations, invoices and receipts
  • Password resets and one-time passcodes (OTP)
  • Account notifications: sign-in alerts, verification links
  • Shipping and delivery updates

Transactional vs marketing email

The distinction matters technically and legally. Transactional mail is expected, time-sensitive and one-to-one, so it typically posts the highest open rates of anything you send. Marketing mail is promotional and requires explicit consent and an unsubscribe option.

Because their reputations differ, many senders route the two streams separately — often on distinct IPs or subdomains — so a marketing complaint spike can't delay a password-reset email.

How transactional email is sent

Transactional messages are usually sent programmatically: your application calls an email API (or triggers via SMTP) at the exact moment the event happens, passing the recipient and any dynamic data. Delivery speed and reliability matter more here than for any other mail — a delayed OTP is a broken login.
