How to avoid the spam folder: a deliverability checklist

The inbox is a privilege mailbox providers grant to senders they trust. Lose that trust and even perfectly legitimate mail gets filtered. This checklist covers the levers that decide whether you reach the inbox or the spam folder — in rough order of impact.

Authenticate your domain (SPF, DKIM, DMARC)

Authentication is the price of entry. Without SPF, DKIM and a DMARC policy, mailbox providers can't verify you are who you claim to be, and increasingly they'll filter or reject unauthenticated mail outright.

Set all three up before you worry about anything else — it's the highest-leverage deliverability work you'll do.

Protect your sender reputation

Mailbox providers score every sender on reputation — a running tally of how recipients react to your mail. High engagement and low complaints build it; spam reports, bounces and spam-trap hits destroy it. Reputation is slow to earn and fast to lose.

Warm up new domains and IPs gradually

A brand-new sending domain or IP has no reputation, and blasting it with high volume from day one looks exactly like a spammer. Ramp up slowly — start with your most engaged contacts and increase volume over days and weeks so providers learn to trust you.

Keep your list clean and engaged

Sending to stale, unengaged addresses is one of the strongest negative signals there is. Remove hard bounces immediately, suppress complainers, and stop mailing contacts who haven't engaged in months. A smaller, engaged list reaches the inbox far more reliably than a big, cold one.

Mind your content and make unsubscribing easy

Spammy content — misleading subject lines, all-image emails, link shorteners, trigger words — raises filter risk. Keep a healthy text-to-image balance, use a reputable link domain, and make the unsubscribe link obvious. Counterintuitively, an easy unsubscribe protects deliverability: people who can't unsubscribe hit 'report spam' instead, which hurts far more.
